Music Server

Privacy Policy

Last updated: 15 September 2026

Music Server is a privately operated music-library and live-display application. This policy explains what personal information Music Server may collect, why it is used, how it is protected, and how you can ask about or correct information held about you.

Public Event audience viewers can normally use a QR code without creating a personal account. Account access for musicians and administrators is approved manually.

Information we collect

Depending on how you use Music Server, we may collect or hold:

  • your name and email address when you request access or hold an account;
  • account and authentication information needed to provide secure sign-in;
  • technical and security information generated by the web server or authentication system, such as request times, IP addresses, browser/device information and login activity;
  • music-library content and settings you create or edit, including songs, sets, tags and events;
  • temporary Live-session information used to keep musician and audience displays in sync; and
  • support or administrative communications you send to the Music Server administrator.

How we collect information

Information is collected directly when you request access, sign in, edit content or use Live features, and automatically through normal web-server, session and security operation. Music Server does not buy personal-information lists or use advertising trackers.

How we use information

We use information only as reasonably necessary to operate and protect Music Server, including to:

  • approve and manage accounts;
  • authenticate users and maintain secure sessions;
  • provide songs, sets, events, Live musician following and public audience display;
  • diagnose faults, prevent misuse and maintain security;
  • send account-related email such as temporary-password or administrative messages; and
  • create and maintain recoverable backups.

Cookies and local session storage

Music Server uses essential session cookies and, where selected, a remember-me cookie so that authenticated users can remain signed in. These are used for application and security functionality, not advertising or cross-site profiling.

Public Event and Guest access

A person who scans a public Event QR code may be placed into a restricted Guest session so that lyrics can follow the current Event. Audience mode is designed not to require a personal account. Normal server logs may still contain technical request information. Musicians who manually join Live may use the normal follower connection and signalling required to keep their display current.

Storage, email and backups

The primary Music Server application and database are hosted on a privately operated server. Account email is sent through the configured Google Workspace SMTP relay. Backups may be stored in Google Drive using an encrypted backup repository. Backup content is encrypted before it is stored remotely.

Cloud services may store or process data outside Australia. We take reasonable steps to limit the information provided to service providers to what is required for the service and to protect information in transit and at rest.

Disclosure of information

Music Server does not sell personal information. Information may be disclosed to service providers only where reasonably required to operate the application (for example email or encrypted backup storage), or where disclosure is required or authorised by law.

Security

Reasonable technical and administrative measures are used to protect Music Server, including authenticated access, restricted administrator functions, secure password handling, encrypted connections where configured, and encrypted off-site backups. No online system can be guaranteed to be completely secure.

Retention

Account, access-request and application information is retained while it is needed to operate Music Server, maintain its records, protect security or meet legal obligations. Backup copies may remain for the configured backup-retention period after live data has changed or been removed.

Access and correction

You may ask what personal information Music Server holds about you, or ask for incorrect information to be corrected, by contacting the administrator at music@friendzysoftware.com. We may need to verify your identity before providing or changing account information.

Privacy questions or complaints

Privacy questions or complaints should be sent to music@friendzysoftware.com. We will review the issue and respond within a reasonable time.

Changes to this policy

This policy may be updated when Music Server features, hosting arrangements or legal requirements change. The current version will remain available at this page and will show its last-updated date.
